Customers & clients

Your client list quietly builds itself as you work — a client record is created automatically the first time you enter a job for that customer, with no separate "add a customer" step to remember. Every certificate, quote, and invoice for them ends up in one place, with no separate address book to keep up to date by hand.

  • The Clients tab is a searchable list of everyone you've worked for.
  • Opening a customer's profile shows their full history — every certificate, service record, quote, and invoice tied to them, each tappable to reopen, plus a one-tap export of that history.
  • The History view shows the same idea across everyone at once — every record of every type, filterable.
  • Renewals Due flags certificates approaching expiry — the same list the Reminders tab surfaces.

Old Clients is an archive, not a deletion. A client's certificate lands there once it's well past its renewal date with nothing booked in, once a renewal replaces it, or when you manually set a reminder aside — the customer record itself is never removed, and "Start New Certificate" from the archive picks up right where the old one left off.

Photos & appliance presets

Two small time-savers built into every certificate's appliance step: attaching a reference photo, and saving a boiler's details once as a reusable preset instead of retyping them on every visit.

While filling in an appliance, "Add Photo" offers either the camera or your phone's photo library — up to 3 photos per appliance. Every photo, across every job and every customer, is browsable afterward in one searchable gallery grouped by customer, with a full-screen viewer.

Photos are for your own on-site reference only — they are never included in the exported certificate PDF. The certificate itself just shows how many photos are attached, so it stays a clean, professional document while the images stay in the app for you to check back on.

Appliance Presets let you save a boiler's make, model, type, flue details, and Gas Council number once and reuse them on future jobs. SwiftCert ships with 8 common UK domestic combi boilers already preset as a starting point — always check the data plate on site, since a preset is a shortcut for typing, not a substitute for verifying what's actually installed. Presets can be edited or removed anytime from Settings.

Saved documents & sharing

Every PDF SwiftCert has ever exported — certificates, quotes, invoices, tax summaries — lands in one searchable, filterable list. If a customer says "can you send that again?", it's a search and a tap away, whether it was exported yesterday or a year ago — nothing needs re-generating.

  • Filter by document type or search by customer name or filename, with file size and save date shown.
  • Tap a PDF to preview it right there in the app.
  • Share hands a document to whatever your phone offers — WhatsApp, AirDrop, Files, printing. Email opens a message pre-filled with the customer's email address and the file already attached.
  • An optional "Clean Up Old Files" tool helps tidy up documents older than 12 months — nothing is ever deleted automatically.

Worth knowing: a data backup protects the certificate, client, and invoice information itself — this saved-documents list is about the exported PDF files already sitting on this device, which is a separate thing.
