The 6 certificate types

SwiftCert covers six different gas-safety documents, each for a different real-world situation — from the annual landlord safety check to a one-off tightness test. Every type is built the same way: a guided, step-by-step form you fill in on-site, which then produces a professional PDF.

  • CP12 — Landlord Gas Safety Record. The annual legal requirement for rented properties. Walks through every appliance one by one, each marked safe or unsafe to use, with a customer acknowledgement step at the end.
  • Boiler Service Record. A routine annual service visit — a professional record of the checks carried out on one appliance.
  • Gas Installation Certificate. For new gas pipework or installation work, including pipe sizing and pressure-test details.
  • Benchmark Commissioning Checklist. Completed once, when a new boiler is installed and commissioned.
  • Warning Notice. Issued the moment an appliance is found unsafe. The customer either signs to acknowledge it, or the engineer records that they explicitly refused to — either way, who was told is always on record.
  • Gas Tightness Test Record. A standalone tightness/leak test result on its own.

Every type shares the same three-step shape: Job Details (the customer and property), a type-specific step for the actual safety-check content, then Review & Export. Each step saves as you go, so nothing is lost if the app closes mid-job.

Creating and editing every certificate type is always free — on the free trial or without any subscription at all. Only generating the final PDF requires an active plan, so you can fill in and review as much as you like before deciding to export. See Your Data & Account for how subscriptions work.

Once exported, a certificate is locked — that exact version becomes permanent, so a reprint months later always matches what was originally issued. Correcting something afterward means creating a new certificate for that job, not editing the locked one.

Jobs & scheduled jobs

A job is the customer-and-property record every certificate, quote, and invoice hangs off — the thread connecting everything about one piece of work. Enter a customer's details once, and every document for that visit shares them, so nothing gets re-typed three times for one job.

A job is never created on its own — it's always the first step of creating a certificate, quote, or invoice. If the same customer or property has been worked on before, "Copy from Previous Visit" reuses that job instead of starting from scratch. A job can also hold just a quote, useful for pricing work that hasn't been decided on yet — see Quotes & Invoices.

A scheduled job is a booking made ahead of the visit — customer, property, type of work, and date — before any certificate exists. It's the app's diary layer, and it hands off to the paperwork automatically:

  • Tapping Start Job on a booking carries every detail straight into the right wizard's Job Details step, pre-filled.
  • Once the resulting certificate is locked, the booking is automatically marked done in the background — nothing to remember.
  • Bookings can also be manually linked to an existing job, marked done, cancelled, or rescheduled at any time.
  • An accepted quote can automatically create a scheduled booking for the work it covers, so pricing and diary stay in sync.

Renewing a certificate

Most gas safety work is repeat business — the same landlord, the same boiler, year after year. Renewing gives you a fast start on next year's certificate without re-typing everything, while still requiring a genuine, fresh assessment on-site.

There are two ways to start a renewal: tapping Renew Now on a reminder in the Renewals Due list, or simply starting a brand-new certificate for a customer who already has a previous one — SwiftCert recognizes this and offers to carry the appliance details forward.

Renewing only carries forward the details that legitimately don't change — appliance make, model, location, and similar. Every pass/fail result, reading, and safety check is left blank and must be genuinely assessed fresh on-site. Nothing about last year's outcome is assumed to still be true.

Once the new certificate is completed and locked, the old one is automatically retired from the active Renewals Due list — the new certificate takes over as the current one for that property, and the previous client record moves into the archive (see Customers & Clients).

Dashboard & reminders

The Dashboard is SwiftCert's home screen — a quick stats overview, quick actions, a preview of upcoming scheduled jobs, any drafts left unfinished, quotes waiting on a decision, and recent activity, all in one place the moment the app opens.

The Reminders tab combines two views: a Scheduled Jobs agenda of upcoming bookings, and Renewals Due — certificates and service records approaching their expiry date, colour-coded by urgency. Each one offers a one-tap Renew or Dismiss, if you're not ready to act on it yet.

Reminders appear when you open the app and check the Reminders tab — they're not push notifications sent to your lock screen. Make checking Renewals Due part of your routine, the same way you'd check a diary.
